How do I invite and manage users in Touchway?

Invite new users to your organization, define access permissions, and control which companies each user can access within the platform.

Touchway allows organizations to centrally manage every user with access to the platform.

Through Organization > Users, administrators can:

  • Invite new users.
  • Define user permissions.
  • Control which companies each user can access.
  • Edit user information.
  • Change permissions.
  • Manage company assignments.
  • Resend invitations.
  • Cancel pending invitations.
  • Remove users from the organization.

These actions can be performed at any time by users with the appropriate administrative permissions.


Inviting a new user

To invite a user:

  1. Go to Organization > Users.
  2. Click Invite User.
  3. Enter:
    • Email address
    • WhatsApp phone number (optional)
    • User permission level
  4. Select which companies the user will be allowed to access.
  5. Click Invite User.

After submission, Touchway generates a unique invitation for that user.


Sent invitations

Pending invitations are available under the Sent Invitations tab.

This page displays:

  • Invitee email
  • Phone number
  • Invitation status
  • Assigned companies

Until the invitation is accepted, the user will not have access to the platform.


Unique invitation link

Each invitation contains a unique activation link.

This link allows the invited user to:

  • Create a password.
  • Activate the account.
  • Access the organization.

If necessary, administrators can resend the invitation or copy the invitation link to share it through another communication channel.


User permissions

When inviting a user, a permission level must be selected.

Depending on your organization’s configuration, users may be created as:

  • Administrator
  • Member

Administrator

Administrators can manage users, permissions, and organization settings according to the organization’s security policies.

Member

Members only have access to the companies and features assigned to their profile.


Company-based access control

Touchway allows administrators to define which companies each user can access.

When creating or editing a user, one or more companies may be selected.

The user will only see data belonging to those companies.


Access to all companies

If no company is selected during the invitation process, the user will automatically have access to every company within the organization.

This configuration is commonly used for organization administrators or users responsible for overseeing the entire operation.


Who can invite users?

Users with administrative permissions can invite new users to the organization.

Organizations may also allow company administrators to invite coworkers who should only access their own company.

In this scenario:

  • The invited user will only access the assigned companies.
  • Other companies within the organization will remain hidden.

Managing existing users

Once an invitation is accepted, the user appears in the organization user list.

Administrators can:

  • Edit user information.
  • Change permissions.
  • Modify company assignments.
  • Change passwords.
  • Remove users from the organization.

Changes take effect immediately after being saved.


Resending or canceling invitations

Pending invitations can be managed directly from the platform.

Available actions include:

  • Copy invitation link.
  • Resend invitation email.
  • Cancel invitation.

Once canceled, the invitation link becomes invalid.


Filtering users

The Users screen provides filters to quickly locate registered users.

Available filters include:

  • Name or email search.
  • Company.
  • Pending invitations.
  • Invitation status.

Important information
  • Every invitation contains a unique activation link.
  • Invitation links can only be used once.
  • Permissions can be modified at any time.
  • Company assignments can also be updated later.
  • Users only see information from companies they have permission to access.
